One register for your whole kit
Log every item you own from a built-in tool catalogue, grouped by category, with brand, serial number, purchase date and notes. Each item carries one of four statuses — Available, On a job, In service, or Missing/lost — shown as coloured chips, with a live count strip across the top so you can see the state of your gear at a glance.
- Check out & return: assign each item to the company yard or a specific crew member. One tap to check a tool out to a person, one tap to return it to the yard.
- Custody log: every owner, status or location change appends a timestamped “from → to” entry, so you can reconstruct who had a tool last and which job it was on. The log keeps the most recent 50 entries and shows the last 10.
- Location: record where a tool is in a free-text field — handy for the yard bay, a container, or a site. It’s a note you type, not live or GPS tracking.
QR pre-use safety check
Print a QR label for each tool. Scanning it on a logged-in device opens a fast pre-use check — a fixed checklist of four base items (no visible damage; guards and safety devices fitted and working; power lead, battery or air line sound; Test & Tag / WoF current if applicable), plus two extra items for plant (fluids OK and no leaks; controls, lights and e-stop working).
The happy path is one tap: All good — pass. If something fails, the check captures a reason and an optional photo, logs the result, and automatically flips the tool’s status to In service so no one grabs it off the rack. Each tool keeps its last 20 checks, and its inventory row shows the last-check date with a pass or fail chip.
A safety aid, not a certificate
The pre-use check is a quick go/no-go before someone picks up a tool — it does not perform, replace or issue a Test & Tag or WoF. Toolie tracks a next-inspection date and records pass/fail checks; it does not store or generate certificates.
Inspections and job tool gaps
Set a next-inspection date per item. When something is overdue or due within 30 days, an in-app banner surfaces it on the Tools page and an “Inspection due” filter chip lets you work through the list. For active jobs, Toolie compares the tools a job type needs against what you own and flags any missing gear, with a warning banner and a job-requirements reference tab.
- Plant hours: for plant with a hire rate set, log hours per job (date, operator, note). Each entry bills at the item’s hire rate and tracks your cost rate, feeding charge, cost and margin into job costing.
- Asset ROI: across all jobs, Toolie totals lifetime hire revenue against purchase cost plus logged maintenance, shows the cost-recovered percentage, and works out a break-even $/hr — with an under-recovering warning if your hire rate sits below it.

Common questions
Does Toolie send me a reminder when a tool is due for inspection or Test & Tag?
No. Due dates surface as an in-app banner when you open the Tools page, plus an “Inspection due” filter chip for items overdue or due within 30 days. Toolie does not send scheduled email, SMS or push reminders.
Can my crew scan a tool without logging in?
No. The QR label opens the pre-use check on a logged-in device only. It is a per-tool safety check, not a public scan, and it doesn’t look up or open a tool from a barcode or asset tag.
Does the pre-use check replace a Test & Tag or WoF?
No. It’s a quick go/no-go safety check before someone uses a tool. Toolie can track a next-inspection date and record pass/fail results, but it does not perform, store or issue Test & Tag certificates or WoF documents.
Can I track hired-in plant or claim tax depreciation?
No. Plant hours track items you own and charge out at a hire rate, not gear you rent in from a supplier. The ROI view is a simple ownership cost-recovery estimate — it is not an IRD or accounting-grade depreciation schedule.
